Receiving Clerk
Job Description:
Role Purpose
The Receiving Clerk is responsible for receiving, inspecting, recording, and controlling incoming materials, spares, and consumables to the mine site. The role ensures accurate documentation, inventory integrity, and compliance with safety and procurement requirements, supporting uninterrupted mining and processing operations.
Key Responsibilities
Receiving & Inspection
- Receive all incoming goods including engineering spares, consumables, fuels, reagents, and general supplies
- Verify deliveries against purchase orders, delivery notes, and packing lists
- Inspect materials for quantity, damage, quality, and specification compliance
- Report shortages, damages, or non‑conformances immediately
Documentation & Systems
- Accurately capture receipts in the ERP / inventory system
- Generate and file Goods Received Notes (GRNs)
- Ensure all delivery documentation is correctly completed and signed
- Maintain accurate receiving and inventory records
Stores & Inventory Control
- Coordinate correct labelling, tagging, and storage of received materials
- Assist with stock binning and correct location identification
- Support stock counts, cycle counts, and audits
- Prevent duplication, loss, or incorrect recording of stock
Safety, Health & Compliance
- Comply with the Mine Health & Safety Act (MHSA) and site safety procedures
- Follow safe lifting, handling, and material movement practices
- Ensure hazardous materials are received, handled, and stored according to regulations
- Maintain good housekeeping in the receiving area
Logistics & Coordination
- Coordinate with transporters and suppliers regarding deliveries and schedules
- Communicate delivery status to procurement, stores, and end users
- Support off‑loading of materials using forklifts, cranes, or handling equipment (if licensed)
- Assist with expediting urgent or critical deliveries
Reporting & Support
- Report delivery issues, delays, and discrepancies
- Provide receiving data for audits, invoice matching, and investigations
- Support continuous improvement in stores and receiving processes
Qualifications & Experience
- Grade 12 / Matric or equivalent
- 2–3 years' experience in stores or receiving, preferably in mining or heavy industry
- Basic computer literacy and experience with inventory or ERP systems
- Understanding of delivery documentation and stock handling
Desirable
- Experience in zinc or base‑metal mining operations
- Forklift or material‑handling equipment license
- Knowledge of engineering spares and mining consumables
